Executive Board

The executive board is elected from the parent community. This group meets once a month during the school year to help lead the efforts of the PTA.

During summer type up membership letter and arrange for it to be copied at the District and available for Back to School packet by late August.  Put articles about membership in Carmeletter.  Distribute membership letter and envelopes to teachers’ boxes.  Fill out membership cards and have them available to be distributed. Continue to drive memberships throughout the year.

Evaluate the attendance and benefits of after-school and PTA sponsored school day programs. Add additional programs as needed and wanted. Set up a table during the Back to School Night to inform parents of all our after school offerings.

Help prepare budget. Keep accurate records of income and expenditures. Maintain PTA bank accounts. Write checks to cover expenses. Present financial reports at PTA and Executive Board meetings. Follow local and national PTA guidelines and procedures.

Twice a year, review PTA books and verify that all checks are accountable and that the books balance.  Audit forms and instructions are provided.

Attend executive board and PTA meetings and give necessary advice in parliamentary procedure when requested. Recruit Nominating Committee members with assistance from the President.  Call the first meeting of the nominating committee. Chair bylaws committee and review bylaws and standing rules annually.

Committee Chairs

El Carmelo PTA sponsors more than 65 programs and events that enrich the school for our children and families. These programs thrive because of the generous support of more than 261 members who give more than 13,000 volunteer hours per year.

Adopt-A-Book Elisa Schmit Solicit donations for El Carmelo parents to pay for new library books.  Check with librarians to prepare a cart of new books before every school event.  Allow parents or children to select a new book to “adopt” for a donation.  Make nameplates (paper) for donated books and submit payments to Treasurer.

Adopt-A-Family   Work with community groups to arrange families to adopt.  Distribute gift wish list to each classroom.  Coordinate with room parents if needed to make sure donations come in by due date.  Advertise in Carmeletter.  Sort items and return to agency for distribution to families.  Sometimes includes soliciting cash donations to purchase larger priced items.

Assemblies

In spring, meet with principal to discuss focus of assemblies for the following year, make arrangements for assemblies, put assembly schedule in MP room book and on school calendar on bulletin board.  A resource list has been compiled.

Auction

Recruit and organize the PTA auction committee.  The committee works to solicit donations, coordinate classroom baskets, sell tickets for dinners, advertise, engage an auctioneer, plan the meal, organize items for the silent auction, and thank donors. The chairperson and committee pick the venue, decorates, organizes meals, entertainment and sets up all the auction items onsite.

Back to School Night

Work with refreshment coordinator to make sure adequate tables are set up.  Call event chairs and invite them to provide information at Back to School Night.  Recruit a volunteer to assist with refreshments who will: call El Carmelo parents to provide refreshments, ask custodian to set up tables, and set up refreshments and arrange for serving and clean up, help  arrange for child care on site..  Develop strategy in collaboration with PiE.

Bicycle Safety

Plan third grade bicycle safety program with third grade teachers and PTA Council traffic safety coordinator.  Use Bicycle Safety materials in office to help with planning.  Recruit parents to help with bicycle safety stations, try to arrange for extra bicycles so all children have one.

Book Exchange

Advertise event in Carmeletter and outside classrooms.  Contact middle school teachers to solicit donations of older books.  Recruit volunteers to collect books outside classrooms, each morning, sort books by reading level, and transport books to classrooms for distribution.

Book Fair

Scholastic book fair representative will contact you to set up dates for book fair. Reserve the MP room (usually 7 days). Advertise the event (theme provided by Scholastic), recruit volunteers, set up and take down the fair, plan the family event, complete financial information to be returned to Scholastic and turn cash funds over to Treasurer.

Buddy Program

Recruit volunteers to be a ‘buddy’ for an incoming (Fall) new families at El Carmelo in the Spring. . Match Buddy Families and new families. The volunteer family will contact the new family to welcome them and meet them at the Ice Cream Social if possible.  Follow up with Buddy Families on contact success.

Bulk Buy/Back-to-School Supplies

Combine classroom fall buy lists and purchase supplies in bulk.  Sign interested families up through Spring Carmeletter.  Buy items over the summer, determine cost per child and collect funds from parents interested in bulk buy program.  Distribute bulk purchase to parents and collect checks on or around the day class lists are available.  Alternatively, work with school staff to arrange for bulk purchase to be distributed throughout the school year.

Children Theatre Liaison

 

Attend meeting in spring to sign up for a play.  Coordinate production of play with Children’s Theatre staff. In the 2005-2006 school year, the liason person brought an independent company to organize and produce a play at the school.

Emergency Preparedness

 

Attend two District-wide meetings, one in spring and one in fall.  In the fall, check expiration dates on food in earthquake shed and remove/replace as necessary.  Attend emergency drills as an observer only.

eScrip

Fall Class Picnic

Recruit one chair per grade level.  Decide on date and place for picnic either before school begins or early in the year in coordination with other Picnic Chairs.  Include your picnic on the office calendar.  Advertise through the Carmeletter, class newsletter, posters, fliers and phone trees.

Family Bingo Night

Promote the event, recruit fun volunteers to call out bingo numbers. Organize the MP room for set up (there are specific instructions in the Bingo plastic bin). Prizes may be donations from parents.

Periodically checks on the 'game closet' which is a closet near the Kindergarten Classrooms that contains numerous board games for children to play with during recess. This person may use PTA funds to replace or purchase additional games.

Math Lab

The coordinator will help maintain and distribute math lab materials to teachers. In the Spring, the coordinator will complete orders to be sent to the PAUSD printers for photocopying over the summer. Right after school begins, the coordinator and other volunteers will help collate and organize the math lab materials for all classrooms. Throughout the year, the coordinator will be the contact person for teachers to obtain additional math lab materials.

New Family Hospitality

Serve as "welcome wagon" for new families to El Carmelo School.  Develop new family packets for distribution at Ice Cream Social and on first day of school.  Welcome new families who arrive throughout the year.  Serve as liaison to PTA and classroom volunteers for families that need special support due to new babies, illness etc.

In spring, provide publicity in Carmeletter and by posters.  Families bring a dessert to share and a blanket to sit on.  Some years, this person organizes food to be preordered and paid prior to the open house. Label one or two picnic tables for desserts.  Recruit parents to help clean off dessert tables before end of evening.

Report - Provide two-way communication between your school and Partners in Education (PiE).  Keep your school community informed via newsletter, eNews, and posters/flyers on campus. Provide periodic updates and opportunities for feedback through special PiE events, attendance at PTA and Site Council meetings, and meetings with principal, PTA presidents, and Site Council chair.
Represent - Attend PiE representative meetings, held approximately once every two months, to represent your school's needs and interests, as well as to receive campaign updates and information on planned campaign activities.
Rally - Be PiE's primary cheerleader at your school site.  Recruit a team of volunteers at your school to help with campaign activities (e.g., write personal notes on direct appeal letters, help with phone bank calls or other special events).
